The Human Resources Shared Services Representative I provide support within the Cox Automotive Employee Service Center ("ESC") as part of a dedicated team of HR professionals, serving 30,000 Cox Automotive employees in the United States. The Representative is responsible for providing customer service and data processing support across multiple capabilities within the ESC. Specifically, this role is an initial point of contact for customer inquiries and is responsible for providing accurate and timely data processing in support of Cox Automotive employees.

This role will be 20 hours/week. The days and times are flexible; however, the incumbent must have the ability to work a schedule which could include day, afternoon, and evening hours between 8am-8pm est. The schedule will be set but may vary from week to week.

  • Provides cross functional administration support to multiple capabilities within the ESC
  • Processes employee requests in Service Now case management system according to priority and SLA
  • Utilizes Kronos to perform data entry of missed punches, time adjustments, PTO and department sharing to ensure employees are paid accurately.
  • Provides both on phone and offline support in a cross functional capacity. Offline support includes processing data corrections, performing audits and processing work in support of data integrity to support employee data records.
  • Maintains files and documentation as part of record keeping in support cross functional ESC groups by scanning, archiving, and filing all documents timely and accurately.
  • Responsible for following up on outstanding issues to ensure resolution, keeps customers informed on the status of research and closes ticket when complete.
  • Handle incoming calls into the toll-free ESC contact number and determines if they need to be transferred to a Specialist.
  • Provides online navigation assistance for customers and utilizes the Bomgar tool to effectively identify and resolve the problem.
  • Respond, resolve and/or distribute customer inquiries to the appropriate team member for resolution.
  • Responsible for securing, safeguarding, and keeping confidential employee information as required by our, "Personally Identifiable Information Security Policy" and all other company data privacy requirements.
  • Position supports 4 time zones. Must adhere to scheduled phone time during shift and remain flexible to support unanticipated events that drive volume. Flexibility is required to support peak volume events throughout the year.
  • Performs other duties as assigned by management.
  • Keeps abreast of changes in local, state, and federal laws; changes policy and/or contract language as they pertain to the payroll function.
  • Ability to work function as an active learner, with self-starter and active learning capabilities.
  • Responsible for securing, safeguarding and keeping confidential employee information as required by our, "Personally Identifiable Information Security Policy" and all other company data privacy requirements.
  • Position supports 4 time zones. Must adhere to scheduled phone time during shift and remain flexible to support unanticipated events that drive volume. Flexibility is required to support peak volume events throughout the year.
  • Performs other duties as assigned by management which includes special project support across multiple Cox Automotive Employee Service center capabilities. This includes projects supporting potential work and miscellaneous tasks across the various capability teams including work in employee and manager support, benefits administration, pay and time entry, writing/editing, data and reporting assignments.
  • Ability to work a flexible schedule which could include day, afternoon, and evening hours between 8am-8pm est.

Qualifications:

  • High School Diploma or equivalent required.
  • 2 years of experience in area of responsibility.
  • Written communication & customer service skills are required.
  • Ability to work both independently as a self-starter with limited direction and to work within a team.
  • Ability to multi-task and meet deadlines with a high sense of urgency.
  • Ability to maintain confidentiality with highly sensitive Human Resource data.
  • Adaptable to changing circumstances and a strong ability to anticipate needs.
  • Ability to be flexible & respond to varied demands while consistently prioritizing requests in a fast-paced environment.
  • Commitment to quality and collaboration in a team-based environment.
  • Proficient with Microsoft Word, Excel, Outlook.
