The Senior Manager, Client Transactions leads the functions and tasks around Assurance client transactions. Primarily focused on the DealShield Return Guarantee product, this person manages the Disbursements team and leads the DealShield client refund process, as well as all other transaction-related management and support.

As such, this person ensures that the reimbursement and transaction processes operate smoothly and efficiently for the >6,000 subscribing dealers (and future additional subscribing dealers) while keeping client experience top of mind. Given that DS360 is a risk-based financial guarantee that exposes Cox Automotive to substantial financial liabilities, careful leadership and management of business rules and processes related to reimbursements and client transactions are critical to the success of the business. Both problem solving and strategic thinking are critical to this role to quickly resolve issues, but also to seek process efficiencies, system efficiencies, and new ways to resolve or avoid client transaction issues.

The Senior Manager should be an experienced team leader with a solid understanding of automotive, financial, risk, and financial shared service (A/R, A/P, etc.) functions. This person should continually orient client transaction operations towards service level agreement achievement and process improvement. The Senior Manager will be expected to juggle many initiatives and efforts in parallel, spanning multiple products and/or strategic efforts. This person will act as a partner to both the DealShield Performance Management team and other Assurance Business Operations teams. A data orientation is critical in order to both manage tasks/functions, but also to look for concerning trends and/or unexplored opportunities.

This person should be comfortable working in a true team environment that is fast-paced and dynamic. Strong organizational skills and client focused thinking are a must, as they will be managing a key benefit of the product. At the same time, great relationship skills and strong creative thinking are required. Candidates must demonstrate effective communication, genuine interpersonal skills, and ability to work in a diverse team environment with individuals and groups across Protection Solutions and Cox Automotive.

PRIMARY DUTIES/KEY RESPONSIBILITES

Disbursements Processing

  • Lead the DealShield Disbursements team, including work scheduling, training, and process execution related to client refund SLAs
  • Manage reimbursement workflows to ensure adherence to customer contracts
  • Ensure that internal and external customers are provided with timely and accurate assistance
  • Manage escalated reimbursement requests and see them through to resolution
  • Manage inter-department communication regarding customer reimbursements
  • Manage communications with floorplan companies with regards to their relationship to DealShield and DealShield payoffs
  • Create and/or update relevant SOPs

Transactions Management

  • Perform holds and releases of disbursements, as necessary
  • Manage client/dealer accounts in Macola/Finance systems
  • Work closely with the Loss Prevention and Business Operations to mitigate risk
  • Work closely with Performance Management teams to manage client performance

Payment Error Resolution

  • Review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports
  • Review and prepare intercompany transactions with corporate staffs/functions

Reimbursement/Claims Adjustments

  • Own the Vehicle Return Authorization cancellation process
  • Own client fee processes associated with Excessive Returns Status
  • Proactively perform required analyses and work with the auction locations and the Financial Shared Service Center to resolve issues before they become material.

Systems Ownership support

  • Design and implement Change Management strategies across team during conversions to new systems, rolling out new products, and implementing efficiency tools
  • Provide guidance and SME input to multiple technology initiatives simultaneously.
  • Monitor and review accounting and related system reports for completeness and accuracy.
  • Identify opportunities, design enhancements, and deploy improvements to the customer reimbursement function

Team Development and Leadership

  • Hire, train, and manage a high-performing team
  • Set monthly, quarterly, and yearly goals

  • Create development and training plans for team members

Qualifications:

Required Experience & Specialized Knowledge and skills

  • BA/BS degree and 10 years of experience (in Accounting and/or Finance preferred) with at least 3 years experience in a management/leadership role; or an equivalent combination of education and work-related experience.
  • Competent in accounting and financial practices and procedures.
  • Must have familiarity with Microsoft Office Suite; familiarity with SalesForce is a plus
  • Proven track record focused on building relationships and process improvement
  • At least 10 years of experience in automotive, risk management, financial, analytics with at least 3 years experience in a management/leadership role
  • Ability to work independently and proactively develop solutions
  • Strong teamwork ethics, including willingness to share information and communicate in an open, honest and direct manner
  • Strong communication skills
  • Embraces change and always looking for the most effective and efficient means to the right end
  • Proven operational, analytical, problem solving and technical skills
