Job Description:

The Administrative Assistance will manage activities contributing to the successful day to day functions and administrative needs of the Program Management team.

This position requires an experienced person with demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities that will ensure the program success. Assuring a steady completion of workload in a timely manner is key to success in this position. Key attributes include initiative as well as critical thinking to identify and prioritize actions to assist the Program Managers and team to be successful in achieving program goals.

Primary Responsibilities
Coordinate program office management activities including program managers' schedules, meetings, correspondence, travel arrangements, records management, and other office duties as assigned.
Communicate effectively to internal and external program partners in writing, on the phone, and in person to assist the Program Management team in accomplishing program related decisions.
Prepare and distribute office correspondence, briefings, visit requests, reports as needed and other office documents as required.
Coordinate on-boarding/off-boarding of staff.
Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
Maintain office supplies by checking inventory and ordering items
Respond to questions and requests for information
Answer incoming calls and assume other administrative duties when needed
Provide general support to visitors
Manage calendar for Program Managers.
Plan meetings and take minutes as appropriate
Assist in the preparation of regularly scheduled reports
Submit and reconcile expense reports
Create and develop visual presentations

Provide support for CDRL's (review, posting, etc.)

Other duties as assigned


• Ability to obtain a Secret clearance
• Minimum of 4 years of administrative experience.
• Skills in independently resolving issues in a manner that promotes program goals.
• Demonstrated persistence in following-through on action items and open issues to full closure.
• Proficiency in the Microsoft Office suite with particular emphasis on word processing, presentation and spreadsheet applications (MS Word, MS PowerPoint, MS Excel and SharePoint).
• Excellent written and verbal communication skills.
• Detail oriented and comfortable working in a fast-paced office environment
• Working knowledge of office equipment, like printers and fax machines
• Skills in independently resolving issues in a manner that promotes program goals.

EDUCATION & EXPERIENCE: Typically requires high school diploma or equivalent and 3 - 5 years of prior relevant experience.
